Terms and conditions and Privacy policy
1. Terms and conditions of use
1.1. What FIELD notebook is
FIELD notebook (fieldnotebook.com.ar) is an application for recording crop scouting visits: weeds, insects, diseases, notes, photos, audio and video, with their location by field and date, with report export, work order creation and the ability to share information with other users. It is offered by Ignacio José Lo Celso Garzón (Argentine tax ID CUIT 23-30970481-9), through his consulting firm ILC | AGRICULTURA, located at José Barros Pazos 3895, (5009) Córdoba, Province of Córdoba, Argentina ("we" or "us").
By creating an account you accept these terms and the privacy policy in section 2. If you do not agree, do not use the application.
1.2. Your account
- To use the application you need an account with a valid email and a password. These are the only required data; everything else (professional name, license number, how you heard about the app) is optional.
- You are responsible for keeping your password confidential and for what is done with your account. If you think someone else is using it, change your password and let us know.
- The account is personal. If you work in a team, each person must have their own, and you can share your fields with them (see 1.5).
- You must be over 18 or act on behalf of a company with authority to do so.
- FIELD notebook is a professional work tool, designed for crop advisors, growers, companies and other ag professionals who use it in their business.
1.3. Free beta and annual subscription
- Free beta: until December 31, 2026 the application is free, with no limit on fields or records.
- From January 1, 2027 full use requires a paid annual subscription. We will let you know in advance in the application and by email. Before you subscribe you will see the final price including taxes, the payment methods, the duration and what the subscription includes.
- If you do not activate the subscription, you do not lose your data: your account switches to read-only mode. You can keep viewing and exporting everything you entered, but you cannot upload new data to the cloud.
- Anyone who signs up after January 1, 2027 gets a 30-day free trial with up to 3 fields.
- The subscription lasts one year from activation and renews only if you pay again. There are no automatic charges.
- Cancelling the subscription: you can request it at any time by writing to soporte@fieldnotebook.com.ar or through the option we provide in the application; we will confirm your request.
- Shared information: viewing what another user shared with you is free. To add records to shared fields you need your own account with an active trial, beta or subscription.
1.4. Your content
- What you enter (fields, records, photos, audio, video, work orders and notes) is yours, without prejudice to any rights third parties may have over that information (for example, your clients or the people who appear in it).
- You give us permission only to store it, sync it across your devices, process it to generate reports, show it to you and to the users you choose to share it with, which is what the application needs to work. That permission ends when you delete the content or close your account.
- We distinguish two kinds of information: personal data (names, emails and other data about identifiable people), governed by the policy in section 2, and agronomic and business data (field boundaries, observations, applications, yields and other production records). Even though the latter is not always personal data, we treat it as confidential and with the same security measures.
- We do not sell your content or use it for purposes unrelated to the service. You can export it at any time (Excel, PDF, KML, GeoJSON and full backup).
1.5. Sharing with other users
- You can share a client, a farm or a field with other users by entering their email and whether they can view only or view and add records. You are responsible for choosing who you share with.
- Shared information stays in the account of whoever originally entered it (the owner). Records, photos and work orders that a guest adds to shared fields are stored in the owner's account and show who added them. This rule defines where the information is stored and who manages access within FIELD notebook; it does not override any rights that may belong to the author of a photo or record, or to the subjects of the personal data.
- The owner can remove access at any time. From then on, the guest no longer sees that information in the application and it is deleted from their devices at the next sync. Before your access is removed, you can export what you need.
- Removing access does not reach reports, spreadsheets or files that have already been exported or sent: each person is responsible for the copies they keep.
- Only the owner can change the boundaries and details of their fields.
1.6. Professional use
- FIELD notebook is a recording tool. Agronomic decisions, treatment recommendations, prescriptions and work orders are the sole responsibility of the professional who issues them.
- The work orders generated in the application are a document for organizing the job and do not replace the agronomic or pesticide prescriptions required by the regulations that apply where the application takes place.
- Alerts about weather conditions, the Delta T calculation, the reference chart and the suggested parameters (for example, adjuvant rates) are for guidance only and do not replace the professional's judgment or the product label instructions.
- NDVI images and satellite images for offline use come from the Sentinel-2 satellite (Copernicus program), and base maps from Esri. They are for guidance only; they may be out of date or contain residual clouds or georeferencing errors.
- GPS location depends on the device and may be off by several meters.
1.7. Availability, backups and liability
- We use reasonable means to keep the application running without interruption and to safeguard information: your data is stored on your device and in the cloud, and we make automatic daily backups of the database, kept for a limited period (see 2.4). We still recommend making your own backups from Export → Backup.
- We cannot guarantee that the application will always be available or error-free. We are not liable for damages arising from internet or third-party provider outages, GPS or satellite image errors, or decisions made based on the recorded information.
- If you notice an error, data loss or a security problem, let us know at soporte@fieldnotebook.com.ar as soon as possible so we can look into it and, if possible, recover the information.
1.8. Acceptable use
You may not use the application for illegal purposes, upload content you have no right to, try to access other users' accounts or data, or overload or interfere with the service.
1.9. Intellectual property and license
- The software, design, the FIELD notebook brand, logos and other elements of the application belong to their owner or their respective licensors.
- With your account you receive a limited, personal, non-exclusive and non-transferable license to use the application while your beta, trial or subscription is active (and in read-only mode, as described in 1.3).
- This license does not allow you to copy, resell, sublicense or modify the application, or to try to obtain its source code, except where the law allows it.
- Satellite images and base maps belong to their providers (Copernicus/ESA and Esri) and are used under their terms.
1.10. Suspension and account closure
- We may suspend an account that breaches these terms. Except in serious cases, we will notify you by email first.
- You can close your account at any time by writing to soporte@fieldnotebook.com.ar from your account email. Before you ask, export what you want to keep: once closure is confirmed we delete your data from the cloud within a reasonable time, including records other users entered in your shared fields and the access you granted.
- We will not delete data from inactive or unsubscribed accounts without notifying you by email first, with reasonable notice so you can export it.
1.11. Changes to these terms
We may update these terms. If the change is significant we will notify you in the application or by email with reasonable notice, explaining what changes, and ask you to accept the new version to keep using the app. Changes do not affect subscriptions already paid for the current period. If you do not agree, you can stop using the application, export your data and close your account.
1.12. Force majeure
We will not be liable for failures caused by events beyond our reasonable control, such as widespread internet or power outages, serious failures of infrastructure providers, natural disasters or orders from authorities. In such cases we will do what is reasonable to restore the service as soon as possible.
1.13. Customer service and support
Questions, complaints and requests are handled by email at soporte@fieldnotebook.com.ar and through the "Send feedback or a suggestion" button in the application, on business days and hours. There is no phone support.
1.14. Governing law
These terms are governed by the laws of Argentina. Any dispute will be heard by the ordinary courts of the city of Córdoba, without prejudice to the rights the law grants users.
2. Privacy policy
2.1. Controller
The controller of the database is Ignacio José Lo Celso Garzón (ILC | AGRICULTURA), CUIT 23-30970481-9, located at José Barros Pazos 3895, (5009) Córdoba, Argentina. Contact: soporte@fieldnotebook.com.ar. This policy complies with Argentine Law No. 25,326 on Personal Data Protection and related regulations. The database is in the process of being registered with Argentina's National Registry of Personal Databases.
2.2. What data we keep
- From your account: email and password (required; the password is stored using a secure, non-reversible hashing mechanism, so no one can read it), and professional name, license number and how you heard about the app (optional). Also the sign-up date, the plan, and the date and version of the terms you accepted.
- What you enter: fields and their boundaries, scouting records (issues, crop stage and field condition, notes), photos, audio, video, the location of each record and each attachment, prescription and work order numbers, the content of work orders (products, rates, application technology and conditions, remarks), and the names of clients and farms you type in.
- What you share: the emails of the people you share information with, what you shared and with which permission. Each record stores who added it (professional name and email).
- Technical: sync dates, language, application errors (without the content of your records) and data needed for service security (for example, the active session).
- Feedback: whatever you send us with the "Send feedback or a suggestion" button.
We do not use advertising or third-party tracking tools.
2.3. What we use it for
- To make the application work: store and sync your data across your devices, generate reports and show you the NDVI of your fields.
- To manage your account and subscription and to communicate with you (service notices, expirations, changes to these terms).
- To improve the application based on your feedback and on aggregated internal statistics (for example, number of users, total acres entered or storage used), which do not identify anyone or the content of your records.
We do not use your data or the content of your records for any other purpose, such as advertising, selling market information or profiling.
2.4. Where it is stored and international transfers
Your data is stored on your device and in the cloud, with specialized providers acting on our behalf under contracts that require them to use it only to provide the service to us and to protect it:
- Supabase Inc.: user accounts, fields and records. Servers in the United States.
- Cloudflare Inc.: photos, audio and video, and application hosting. Files are stored in Cloudflare's North America region and the application is served from its global network, which may include servers in Argentina.
- Resend Inc.: sending confirmation and password reset emails. Servers in Brazil.
- GitHub Inc.: automatic daily backups of the database, which are kept for a limited period and then deleted automatically. Servers in the United States.
The United States and Brazil are not among the countries that the Argentine authority considers to offer adequate protection. The transfer is therefore made with your express consent, which you give by accepting this policy (art. 12 of Law No. 25,326 and of its Regulatory Decree No. 1558/2001), and only to provide the service. If we change providers or countries, we will update this section and notify you.
To calculate NDVI, the application queries public satellite imagery (Earth Search / Sentinel-2), sending only the coordinates of the area being queried, with no account data. Likewise, base maps are downloaded from Esri for the area you are viewing.
2.5. Who we share it with
We do not sell, rent or transfer your data. Only the following have access: the users you choose to share information with (and only to what you shared); the owner of shared fields, who sees the records you add to them along with your professional name and email; the providers in section 2.4, to provide the service; and authorities that request it by court order or legal requirement. The application administrator can technically access stored data, and does so only when needed for support you request, for security or for legal compliance.
2.6. Location, camera and microphone
The application uses your device's location to detect which field you are in and to geotag each record, and uses the camera and microphone only when you take a photo, video or audio note. These permissions are optional and you can revoke them in your phone settings at any time. Without location you can still add records by choosing the field and placing the point on the map by hand, but the application will not detect which field you are in; without camera or microphone you cannot take photos, videos or audio notes from the application.
2.7. How long we keep it
As long as you have an account. If you ask to close it, we delete your data from the cloud within a reasonable time, except what we must keep by law; automatic backups containing it are deleted when their retention period ends. Records you entered in another owner's fields stay in that owner's account. Data stored on your device (including satellite images for offline use) is under your control.
2.8. Your rights
You can ask to access, correct, update or delete your data by writing to soporte@fieldnotebook.com.ar from your account email, free of charge. We answer requests within the time limits set by Law No. 25,326. You can also edit or delete your records and export everything you entered from within the application. If we do not answer in time or you are not satisfied with the answer, you can file a complaint with the Agencia de Acceso a la Información Pública.
2.9. Security
Communications are encrypted (HTTPS). Each user can only access their own data and what others shared with them, with the permission granted: the system checks this on every request, both in the database and on the photo and file server. Passwords are stored using a secure hashing mechanism. If a security incident occurs, we log it, assess its scope and take steps to contain it; if it affects your data, we will notify you when appropriate, with the relevant information.
2.10. Your clients' and third-party data
If you enter names or other information about your clients, growers or collaborators, or share information with someone else's email, you decide what data to enter and why: you must have a legitimate basis for doing so (for example, your professional relationship with your client) and have informed them. For our part, we process that data only on your behalf and to provide the service, with the same security measures as all other information, and do not use it for any other purpose. If a third party asks us to exercise their rights over data you entered, we will let you know and help you respond.
2.11. Changes to this policy
If we change this policy we will notify you in the application or by email, explaining what changes and the effective date.
